PROPOSED CHANGES TO MINUTES
Hi Cathy - after the build up to Christmas & New Year and now the
fast approaching Registration day one or two items are easy to forget in
Minutes hence these changes are proposed
There are 3 changes proposed to the Minutes Tue 22 Nov 2005 received

Item f: Proposal on Sub-Junior Coaching
a Tony Frew [AH] outlined a proposal for a sub-junior coaching
structure
b This proposal was that each of the sub-juniors years were allocated
1 day each week so that sub-junior coaches were taught about
teaching football skills and the level of coaching of sub-juniors was
improved and at a consistent level eg

Wed 15:30 - 17:30 U8
Tue 15:30 - 17:30 U9 - Boondah Road Pitch
c AH said this would involve Practice Pitch management as U9
can only practice at Jackson Park - Work-Group PM1 to review
and report on whether feasible.
d AH said he would be developing a sub-junior Coaching Manual
that would require sponsorship to pay for the reproduction
and copies to the sub-junior coaches
e Trevor FROST [TF] offered to sponsor the Sub-Junior Coaching
Manual

Item g: Defining Position Functions & Responsibilties
a The President [Peter SYMONDS - PS] stood up to stay the Club
had now reached the stage whereby the Management Committee
had to sit down and define its functions and responsibilities.
b PS said this was required for a number of reasons including:
1 Key Long serving Members of the Management Committee
including Lorna GALE, Don GALE and himself had given Notice
to the Club that this was their last year of service
2 It was part of the Club's philosophy to have a Volunteer
Succession Strategy and this was not being fulfilled at the
moment as indicated by the Lack of Interest in members
volunteering for numerous positions
3 There were 3,000 new homes under construction over the next
3 years in the Warriewood Area which could result in a major
demand for Football
c PS said at the last Committee Meeting in Oct the Club had
agreed to financially remunerate a Canteen Manager and a
Club Administrator but as yet no-one had defined their functions
and responsibilities
d PS said in Sep 2005 the Club had received a proposal from
Stephen GOULD [SGG] Chair of the OIC eCommunity Services
Special Interest Groups [CZAG] for an eCredits Process for
Volunteer Work
e At the meeting in Sep 2005 SGG had offered to assist with
defining the Position Functions and Responsibilities and operating
the Club Administration at $ 275.00 per week including expenses
for 30 weeks
f PS said he consider it important that the Club consider the offer
and invited SGG to outline his proposal before the meeting voted
on whether to accept the offer
g SGG explained about OIC eCommunity Services [CZAG] and the
reasons why the initial proposal had been made. This proposal
has been submitted due to:
1 The lack of information he obtained as the Manager of
an U7 team on BBQ Service Rosters, Bad Weather days
and Coaching tips. This had affected his ability to assist
the Club fulfil the team's responsibilities. He knew his team
was not the only team that had this problem
2 the excellent foundation Web site that had been developed
by the PSRLFC Webmaster - Brian GRAHAM
3 previous experiences assisting organisations with
Position Functions and Responsibilities
h There were 3 aspects to consider:
1 Defining Position Functions and Responsibilities
2 Developing Web-based Applications to support those
Responsibilities eg
i Electronic Registration on a web-page rather than
keying in data from hand-written registration forms
ii Electronic Team, Equipment and Match Records for
Junior and Sub-Junior Teams
3 Defining Electronic Process without automatic reminders
eg
i Electronic eMail processes for events such as
BBQ and Net Duties
i TF said in the report there was a 4 week initial proposal that he
was prepared to consider to define the Position Functions and
Responsibilities as a defined plan had been prepared
j PS called for a vote and the vote was 5/5.
k Cathy BARBER [CB] offered to carry out the Positions Functions
and Responsibilities.
l PS thank her for the offer but said that is was an important issue
that had to be completed very quickly asked the Committee
to re-vote on the issue for the 4 week period
m The Committee re-voted and the proposal was accepted.

Cathy - if the meeting is in agreement with with changes could
they be cut and pasted into the Minutes
I am bringing my 3-hole Punch on Tue but would suggest that we
have a Work-Group Organisation Secretary 1 [WKOS1] to get
all the filing up to date - pick a date and lest see if when can find a
volunteer as a 3rd member
