Peter - further to our discussion 12:30 today I confirm:

A	DRAFT SIMPLE RESPONSIBILITIES

B	3 SIMPLE FUNCTIONS TO ASSIST THE SECRETARY

I suggest that in the short term we look for a junior who could help the 
Secretary with 3 simple functions which will probably take 6 hrs/month

	1	E-mail with Agenda & Reports to go out 1 week before meeting

	2	Filing all correspondence and reports 3 days before each 
		monthly meeting - this would could preparing the list of
		Incoming Mail
  
	3	E-mail follow up for Committee reports 1 week after meeting to 
		remind people to prepare their report within the next 7 days 
		for the next meeting

The set Agenda appears to be for each meeting:

A	Matters arising from Last minutes

B	President's Report

C	Secretary Report
	1	Incoming Mail
	2	Outgoing Mail
D	Treasurer's Report - would include Canteen Report

E	Registrar's Report

F	Competition Secretary's Report

G	MWFA Report

H	Ground Manager's Report

I	Gear Manager's Report

J	Ladies Report

K	Girls Report

L	Other Business

The first job will be to get all the filing up-to-date - I can bring a three hole
punch !
 
C	ASSISTANT REGISTRARS TO ASSIST THE REGISTRAR

The proposed nominated Assistant Registrars for the Registration
with the time probably required are:

a	Assist Registrar-Seniors 	- 12 hrs/annum
b	Assist Registrar-Over 35s 	- 12 hrs/annum
c	Assist Registrar-Juniors 16-18 	- 12 hrs/annum
d	Assist Registrar-Juniors 13-15 	- 12 hrs/annum
e	Assist Registrar-Juniors 10-12 	- 12 hrs/annum
f	Assist Registrar-Sub-Jun  8-9 	- 12 hrs/annum
g	Assist Registrar-Sub-Jun  6-7 	- 12 hrs/annum

It would probably be appropriate to have 7 other new Volunteers to
learn the process with each Assistant registrar and write out receipts
etc

It may be appropriate to send an e-mail out to last year's Managers &
Coaches to see if they know anybody that may be prepared to assist.

I have found in the past that if you give people two or three weeks 
notice they can fit it in particularly as most will be coming down 
anyway to register
